Automating supplier invoice entry with OCR

Automating supplier invoice entry is one of the most profitable AI projects: each hand-keyed invoice takes minutes and risks errors. AI-assisted OCR reads, extracts, checks and prepares the ERP entry.

The chain

  1. Collection: dedicated inbox and drop folder
  2. Extraction: supplier, number, dates, amounts, VAT, IBAN, lines — no per-supplier template
  3. Automatic checks: totals, VAT, known supplier and IBAN, duplicates, PO and receipt matching
  4. Exception review only
  5. Posting to the ERP or accounting software with the document attached
The goal is not to read every invoice perfectly, but to have humans review only the problematic ones.

What about e-invoicing?

In France, all VAT-registered businesses must be able to receive e-invoices since 1 September 2026; issuing becomes mandatory for SMEs and micro-businesses on 1 September 2027. Structured invoices are read directly, but OCR remains useful for foreign suppliers, plain PDFs and other documents — and matching, checks and approval are still needed.

Gains

Less entry time, fewer errors (see supplier invoice entry errors), controlled payment terms, full traceability. Extend to other documents: 5 document automation use cases.

Supplier invoice OCR: FAQ

How reliable is invoice OCR?

Very reliable on native PDFs, less on poor scans — hence field checks and review of doubtful cases.

Is OCR still useful with e-invoicing?

Yes, for foreign suppliers, plain PDFs and other documents.
